Record repairs you notice before taking a home on rent
Record the specific repair you noticed, where it is and what you were told about it. Ask who will confirm whether work is planned and when it can be checked again. Keep an observed problem separate from a promise to fix it before you move.
Before you speak to us
- Tell us what you need
Keep your area, budget and must-haves ready.
- Ask your questions
Write down what still needs checking.
- Discuss the next step
Decide what to check before going ahead.
What should your notes describe?
Name the room or item and the problem you can actually see. A loose handle, a stain or an appliance that could not be tested needs a more specific note than a general comment about condition. Avoid guessing at the hidden cause.
Ask permission before taking a close photograph and keep other people and their belongings out of it. If you could not inspect an item, record that fact. Do not mark something as working only because it was present in the home.
What should you ask the owner to clarify?
Ask whether the owner is proposing any work, what that work covers and who will provide an update. Keep your requested work distinct from what has actually been discussed. A suggested repair and an agreed next step are different entries in your notes.
If you are given a date, record who proposed it and whether it is confirmed. Tell our team which item would affect whether you can move in. Do not make further arrangements on the assumption that a general assurance answers every repair question.
How can you check the position before moving?
Arrange to see the relevant item again through the agreed contact, if that is needed. Compare it with the original note and ask about any difference. If work cannot be checked yet, keep the item pending instead of deleting it from the list.
Discuss any remaining concern before fixing practical move-in arrangements around it. Keep a clear record of the question, the answer received and what still has to happen. This guide is about useful visit notes, not a technical inspection of the home.
