Clarify who handles rental maintenance questions

Identify who can answer questions about the home, shared building arrangements and individual repairs. Keep those responsibilities separate and tell the prospective tenant how the agreed contact route will work. Do not assume the person arranging a viewing will handle ongoing maintenance after moving.

Before you speak to us

  1. Tell us what you need

Keep your area, budget and must-haves ready.

  2. Ask your questions

Write down what still needs checking.

  3. Discuss the next step

Decide what to check before going ahead.

Which questions need different contacts?

List the matters you expect to answer yourself and the ones another person must clarify. A shared entrance, equipment in the home and a building service may involve different people. Check who is willing to be the contact before offering their details.

Keep a practical description of each role rather than relying on a general statement that maintenance is taken care of. If something remains undecided, record it as pending. This helps you describe the arrangement accurately during a rental discussion.

How should someone raise a concern?

Discuss which contact route should be used, what information would help describe a problem and how an update would be passed back. Keep private access codes, personal papers and unrelated household details out of general messages.

If you will be away, explain who can receive the question and which decisions still need to come to you. A contact arrangement should reflect what the people involved have actually agreed to do. Do not imply continuous attendance or a fixed response time that has not been confirmed.

What should be clear before moving?

Review the tenant’s unresolved questions and identify the appropriate person for each. Separate an existing repair concern from the route for reporting a future issue. Check that both discussions use the same current description of the home.

Tell our team which clarification is needed for the property requirement. Ongoing care, repair work and property management should not be assumed to be part of a brokerage enquiry. Keep the requested help specific so that the team can explain whether it can assist.
