Guide

Prepare owner notes for the end of a tenancy

Prepare the earlier item list, questions about condition and the keys or access items you expect to discuss. Agree who will attend and which points still need answers. Keep observations and proposed amounts separate; a handover checklist should not assume that a settlement has already been decided.

Before you speak to us

  1. Tell us what you need

Keep your area, budget and must-haves ready.

  2. Ask your questions

Write down what still needs checking.

  3. Discuss the next step

Decide what to check before going ahead.

What should you prepare before the meeting?

Read the information you already have about included furniture and equipment. Identify an item that needs clarification instead of creating a new description from memory. Ask who can confirm a question about the home’s earlier condition.

List the practical items to discuss, including keys, access cards and any readings you want reviewed. Agree how photographs or notes will be shared without including personal belongings or private access information. Keep the list focused on the particular home.

How can the walk-through stay specific?

Describe the room or item and the observation you want to discuss. Keep an item that could not be checked marked as unconfirmed. Do not assume the cause of a problem from appearance alone.

Ask the other person for their account and record points still needing a response. If something needs a professional check, identify that as a next step rather than deciding its cause during the walk-through. A useful record separates what was seen from what is being proposed.

How should unresolved points be followed up?

Keep proposed amounts, condition questions and practical actions under separate headings. Identify who will obtain the next answer and how the people involved will be updated. Do not mark an amount as settled while it is still under discussion.

Tell our team what part of the property conversation you need help with. This page prepares practical handover questions; it does not determine a disputed amount or establish what either person must accept. Seek the appropriate independent help for a question outside that discussion.
